The messages you answer between lessons

Coaching scales. The admin doesn’t. Each of these is a few minutes on its own, and together they’re your evening.

6:52am · parent

“Ava's got a temperature. Can she do a make-up on Thursday instead?”

Tuesday · parent

“Leo's been in Level 2 for two terms. When does he move up?”

Monday · your bank

Eleven payments in, three missing, and no reference on two of them.

3:10pm · the centre

“Pool's closed for the rest of the day.” Sixty families to tell before 3:30.

Built around how a swim school runs

Nine jobs Rundesk takes off your plate

Make-ups

Parents book their own make-ups

Now: a sick-day text, then you hunt for a class at the same level with a spare place.

With Rundesk: a notified absence earns a make-up under your rules. Parents choose a same-level class with room, and the roll updates itself.

Levels

Move kids up without the reshuffle

Now: skills on a clipboard, a new time slot to find, and a parent to explain it to.

With Rundesk: tick skills off on the roll, see who's ready, and offer the family the next level's open slots in one message.

Class sizes

Ratios kept, classes never overfilled

Now: a make-up squeezed into a full beginners' class because nobody checked.

With Rundesk: set a maximum for each level. Bookings and make-ups stop at the limit, and full slots get a waitlist.

Enrolment

Ongoing enrolment or terms, your choice

Now: rebuilding class lists, and a waitlist for Saturday mornings kept in your head.

With Rundesk: children keep their slot week to week until the family withdraws, or you run terms. When a popular slot opens, the next family on the waitlist is offered it.

Fees

Fees that chase themselves

Now: matching bank transfers to families and working out sibling discounts by hand.

With Rundesk: bill weekly, fortnightly, monthly or by term. Card, bank transfer, cash and Active Kids vouchers sit on one list, and overdue families get a reminder.

Roll

A roll made for wet hands

Now: a soggy paper list, or a teacher who doesn't know about a child's asthma.

With Rundesk: big tap targets on the teacher's phone, with medical notes, make-ups and new swimmers flagged in the class list.

Closures

Pool closed? Tell everyone at once

Now: group chats, a social post and a dozen phone calls before the first class.

With Rundesk: cancel the affected classes. Every family hears by email or SMS and gets the make-up your policy gives.

Teachers

Rosters and cover in a few taps

Now: a teacher is sick and you're texting around for cover at 2pm.

With Rundesk: see every teacher's lanes and classes, move classes to another teacher for a set of dates, and get a heads-up before checks and qualifications expire.

Progress

Progress parents can see

Now: the same “how's she going?” conversation at the side of the pool every week.

With Rundesk: each family sees the skills their child has passed and what's next, with an end-of-term summary sent for you.

One day at the pool, with Rundesk running the desk

You coach. Rundesk handles the bits in between.

  1. 5:30am

Squad training. Your assistant ticks the roll on their phone. Two swimmers whose monthly fees are overdue are flagged quietly.

  2. 7:00am

A sick child. Ava's mum marks her absent, sees Thursday 4pm has a Level 2 spot, and books the make-up. You find out from the roll.

  3. 12:30pm

Cover sorted. Jess is unwell. You move her afternoon classes to Sam, and the families get a heads-up about the new teacher.

  4. 3:30pm

Lessons. Teachers see each class with medical notes and make-ups flagged. Two Level 3 swimmers pass their skills and are marked ready to move up.

  5. 6:30pm

Home. No inbox to clear. Overdue reminders went out on their own, and both Level 3 families have already picked their new slot.

Squads

Coaching a squad as well?

Learn-to-swim and squad families live in the same place, so a parent with one child in Level 4 and another in junior squad has one account and pays once.

  • Monthly squad feesBilled automatically, with overdue swimmers flagged on the roll.
  • Squads by laneEach squad's lanes, coach and session times on one timetable.
  • Session attendanceSee who's actually training, session by session.
  • Messages by squadCarnival details or a session change to one squad, not everyone.

Questions swim schools ask

Do parents need to download an app?

No. Parents book, pay and pick make-ups from a link on their phone.

We don't run terms. Does that work?

Yes. Kids can keep their weekly slot until the family withdraws, billed weekly, fortnightly or monthly.

Can I set my own make-up rules?

Yes. Choose how much notice parents give, how many make-ups a term, and how long they last.

Some families pay cash or by bank transfer.

That's fine. Mark it paid when it arrives and it sits on the same list as card payments.
